MSIG insures large multinational and domestic companies, and offers comprehensive global insurance programs.  Our US subsidiary, Mitsui Sumitomo Marine Management (MSMM), currently has an opportunity available for Claims Support Associate (Bi-Lingual), located in our New York City office.

Summary: Under supervision is responsible for administration and coordination of adjusting activities to ensure recordkeeping is conducted in a timely and efficient manner. This ensures proper processing of recoveries and payment of claims by performing the essential duties listed below:

Essential Functions:

  • Enters data or transactional information in an accurate and timely fashion in the CHSS and WINS(GEMS)/CMT systems.
  • Performs copying and scanning of documentation on an as-needed basis.
  • Sets up folders for new claims and new policies received from underwriting department or overseas insurers.
  • Supports the activities of Claim Representatives, Claims Specialists, Claims Technical Associates, and recovery staff, including responding to queries from claimants, brokers and others regarding payment status; and maintaining and ordering office supplies.
  • Coordinates claim payments via a bordereau system, including preparation of bordereaus, processing checks, remitting funds to claimants and vendors by check and wire, and collection of funds from overseas insurers.
  • Records and monitors incoming/outgoing fund by using spreadsheet.
  • Opens, indexes and date stamps incoming mail in a timely and accurate fashion.
  • Retrieves and files claim files in Laserfiche to ensure files are filed in an accurate fashion.
  • Drops mail in claim files in a timely and accurate fashion to ensure accurate documentation is maintained in claim files.
  • Provides back-up mail services including Fedex, certified mail, etc. to the operations unit on an as-needed basis.
  • Closes files in WINS(GEMS)/CMT and CHSS systems and conducts inventory and registration of closed claims with off-site storage vendor to ensure proper tracking of files that will enable ease of access.
  • Pulls files for audits in a timely fashion and runs reports in preparation for marine audits.
  • Assists with special projects requested by OMC members, including, but not limited to, research data for reports, prepare letterheads, print out reports, creating and updating spreadsheets.
  • Process vendor requests from claim staff so that a new vendor can be added to the Vendor Maintenance Table.  This involves verifying that the vendor is not already in the table, then completing a Vendor Request Form (found on the Source) and forwarding it to the CSC Processing Unit for entry into WINS(GEMS).
  • Responsible for maintaining inventory of OMC office supplies and reordering items as needed.

 

Supervisory Responsibilities:

This position has no supervisory responsibilities.

Education and Experience Required:

  • High School Degree or G.E.D. and a minimum of one year’s experience working in an office environment.
  • Fluent in English and Japanese.

Other Qualifications Required:

LANGUAGE SKILLS (English/Japanese)

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

MATHEMATICAL SKILLS

  • Ability to perform basic mathematical skills including, but not limited to: addition/subtraction, multiplication/division and fractions/percentages.
  • Ability to perform these operations using units of American money and weight measurement, volume, and distance.

OTHER REQUIREMENTS

  • Must have excellent attention to detail and organizational skills.
  • Must have excellent follow-up skills to ensure required responses are received and work gets accomplished in a timely manner.
  • Must have excellent customer service skills to ensure our clients and vendors are serviced professionally, effectively and in a timely manner.
  • Must have strong computer skills including MS Office skills including Word, Excel (the ability to create and format spreadsheets, sort, and create basic formulas).
