The primary responsibility of the person in this role will be to support the Chief Administrative Officer, provide support to the executive team to ensure that company goals and objectives are accomplished, and operations run efficiently.  The individual in this role must understand business and TPA priorities, demonstrate the ability to proactively anticipate needs and drive improvements to build capacity for the executive leadership team.

As a member of an agile executive team, the Chief Executive Assistant will contribute to evolving our processes, act as mentor to members in the field, and bring best practices to our organization. The Chief Executive Assistant will be groomed to become the next Chief Administrative Officer of TPA.

This role offers extensive interaction with our executive leadership team, board of directors, and twenty-nine (29) division secretaries across the country. Also, with external boards of the TPA Hearing Trust and Homer T. Wilson Benevolent Fund.

Expertise:
• Confidant and consultant to the CAO and board members.
• Source of information/direction for many people in various areas of the organization.
• Coordinate the onboarding/offboarding of board members.
• Serve as back up to CAO.

Administrative Support to the CAO:
• Support the chairperson of the Homer T. Wilson Trustees who has general supervisory direction of the work of the
organization, all applications for relief, and power to approve for payment all requests for donations.
• Support the board of trustees of the TPA Hearing Trust who has general supervisory direction of the work of the
organization, all applications for relief, and power to approve for payment all requests for donations.
• Support the TPA board of directors.
• Support all standing committees and special committees of TPA.
• Support the CAO in keeping the minutes and transactions of all business meetings of this association and of the
board of directors.
• Support the CAO in keeping the roll of membership, receive all moneys paid to this association and be the custodian
of all its records, papers, and funds.
• Support the CAO in approving all investments made on behalf of TPA, Hearing Trust, Homer T. Wilson Fund, and Statutory Deposits.

Be actively involved in:
• Membership recruitment and retention.
• Oversight and preparation of the quarterly and annual statutory statements.
• Preparation and filing of IRS Form 990 for TPA and the TPA Hearing Trust.
• Flow of information to and from actuary firm, statutory compilation firm, independent auditor, 29 state insurance regulators, the National Association of Insurance Commissioners (NAIC), and the legal firm representing TPA.
• Representing TPA, TPA Hearing Trust, and Homer T. Wilson, in public and in written press releases.
• Review of all agreements and contracts.
• Design and implementation of marketing TPA, internally, in person, in public, via the Internet and social media.
• Preparing agendas for all board meetings.
• All lodging and event coordination.
• Planning and execution of the annual business meeting, including but not limited to scripting for the four-day event.
• Human resources, including recruiting, hiring, and firing employees.
• obtaining all insurance coverages, including but not limited to property, casualty, crime, fiduciary, cyber, employee health, and retirement plans.
• Reviewing and approving all claims in the amount of $2,500 or more.
• Publication of the TPA magazine.
• Other accountabilities as assigned. 

Required Skills:

• Advanced knowledge and experience in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
• Excellent verbal and written communication skills; experience drafting and editing professional correspondence with correct grammar, style, and punctuation.
• Excellent organizational skills and attention to detail.
• Strong sense of urgency and exemplary levels of accuracy, efficiency, flexibility, initiative, and resourcefulness.
• Strong inter-personal skills and respect for people from other cultures and backgrounds.
• Self-motivated with knowledge of and enthusiasm for creating and managing workflow processes.
• Flexibility and patience to suit a dynamic and non-traditional working environment.
• Willingness to work flexible hours.
• Must be poised, polished and professional. Your Typical Day
• There is no typical day as each constantly revolves around what the CAO needs, and new situations/critical issues arise. Basic items must be attended to (calendaring/travel/expenses/standing meetings) but plans on any given any day can be tossed aside depending on what is occurring in the world.

Required Qualifications:
• Minimum of a bachelor’s degree required, preferably in business administration and management.
• Proven track record in maintaining a professional demeanor while working in a fast-paced environment.
• Five years C-Suite experience is preferred.

Starting Salary $70,000 - $80,000
