The Office Manager is responsible for coordinating office operations and procedures to ensure organizational effectiveness, and compliance. This candidate must have experience in handling a wide range of administrative and executive support related tasks and the ability to work independently.  Strong knowledge of the insurance industry and working knowledge of digital platforms is preferred. In addition, the ideal candidate must be highly organized, flexible and enjoy the administrative challenges of supporting an office of diverse people in a fast-paced environment.  

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Overseeing general office operations
  • Coordinating appointments and meetings
  • Managing staff calendars and schedules
  • Greeting visitors, answering incoming calls and delivering world class service to our clients
  • Producing reports, composing correspondence
  • Contract management
  • Creating presentations and other management-level reports
  • Managing office budgets
  • Implementing and maintaining procedures/office admin systems
  • Liaising with staff, suppliers and clients
  • Organizing company events or conferences
  • Onboarding new employees
  • Providing payroll assistance

 

Minimum Qualifications (Knowledge, Skills, and Abilities)

  • Associates degree in Business Administration or equivalent
  • Knowledge and working experience of administrative practices and procedures, data management methods
  • Integrity and Adaptability
  • Attention to detail and accuracy
  • Previous experience within the insurance industry
  • Knowledge of application integration, data management, and security market technology
  • Demonstrated ability to build and maintain relationships
  • Flexible, creative, and able to work in a non-structured developing work environment
  • Demonstrated capacity to think “outside the box”, communicate and motivate on the company’s products, programs and new ideas
  • Proficient in Microsoft Office, specifically Excel, Word and PowerPoint
  • Excellent oral/written communication skills, including well-developed presentation skills
  • Excellent customer relationship skills
