Job Details

Job Summary:

Performs various support duties and processes legal transactions, such as responding to internal and external requests for information and preparing documents, court information and files for additional handling by other associates. Performs other related support duties as requested, such as answering phones, processing mail and assisting customers. Follows procedures and applies intermediate-level administrative skills and basic legal office knowledge to accomplish both routine and non-routine tasks and duties.

Job Responsibilities:

  • Opens, date stamps, sorts, distributes, and uploads mail.
  • Processes all incoming paper and electronic invoices for payment.
  • Accept, screen, and route telephone calls. Resolve routine and non-routine administrative problems and answer inquiries.
  • Retrieves and/or maintains files according to standard procedures; processing/opening incoming litigation files; may create new files and/or prepare records for offsite storage to comply with retention schedules.
  • Data entry, typing letters and emails. Monitors various electronic mailboxes and voicemails.
  • Collaborates with various units within the company.
  • Performs other related support duties as requested such as, ordering supplies, photocopying, faxing and scanning various documents.
  • Provides back-up support in the absence of others.

Qualifications:

  • Effective organizational, interpersonal, and communication skills required to help resolve routine problems, answer general questions, and know when to escalate more complex issues

  • Dependability, attention to detail, ability to follow/interpret procedures, and employ reason to accomplish non-routine tasks and duties.

  • Intermediate level of skill required to open, create and modify various documents using the Microsoft Office suite (e.g., documents, spreadsheets, e-mail, etc.) and enter/retrieve information using various applications/systems.

  • Ability to exercise judgment to shift priorities and organize multiple tasks simultaneously

  • Ability to effectively review and/or edit documents and exchange routine and non-routine information verbally and in writing with use of proper grammar, spelling, and punctuation.

  • Understanding of the courts and stages of litigation, knowledge of various electronic court systems following for Motion Decisions, preferred.

  • High school education or equivalent, plus at least 1-2 years of relevant customer service or administrative experience.
