Job Summary
Responsible for the management of the CL Document Management Unit that provides document management services (i.e., retrieval, certification, indexing and archival storage) in support of all Commercial Lines of business. Responsible for maintaining an efficient and effective operation to meet operational and regulatory goals.

Primary Job Duties & Responsibilities
Manage the CL Document Management Unit of Commercial Lines Operations by establishing goals and objectives and monitoring document management functions and work activities. Evaluate management information reports, prepare and implement action plans for procedural changes or management review. Manage the document preparation and inbound mail process. Represent the Document Management Unit by acting as a liaison with other units and outside vendors in developing and implementing initiatives to remain current with technology. Keep abreast of industry, bureau, and regulatory releases to develop, cost out, and initiate required changes within the department, and to influence decisions where necessary. Update PC/CL Document Management Manual to reflect current standards and procedures. Administer quality assurance initiatives by reviewing the unit's product and refining the process as needed. Conduct periodic customer service reviews; initiate corrective action in the unit as necessary. Assist in developing the Records Management business plan with other management staff by preparing the budget, coordinating implementation and monitoring progress toward achieving goals and objectives. Implement new methods to reflect rapid changes in customer demands and new technologies. Perform all the necessary staff management functions to meet strategic goals and objectives, to assure that performance standards are achieved and to utilize all available resources in a cost effective manner.

Minimum Qualifications
Three years of business experience required. Strong people and resource management skills required. Strong communication skills required.

Education, Work Experience & Knowledge
Bachelor's degree preferred. Four or more years of business experience preferred. Two years of experience delegating work and managing the workflow of others preferred. One to two years of experience managing others preferred. Expert knowledge of archival policies, certification requirements, and archival storage practices preferred. Experience presenting to leaders preferred.

Continually seeks ways to cut costs and/or produce work more efficiently while ensuring that Document Management objectives are met. Takes responsibility for decisions and actions. Manages own work and directs the work of others. Effectively coaches and mentors staff; delegates responsibility. Understands the business and responds to all related issues, concerns and problems. Identifies customer needs and takes appropriate action to meet those needs. Acts with a sense of urgency. Demonstrates a commitment to superior service. Demonstrates a strong knowledge of the internal and external conditions that have the potential to affect customer service levels. Builds a winning team. Establishes/promotes strong coalitions and networks within and outside of the company. Works effectively with all levels.
