Job Family Summary
The Ivantage Agency Operations team is responsible for agent-facing expanded market processes such as commissions, program enrollment, agent termination, and book transfers. The team is accountable for ensuring that processes meet the needs of agents and various other internal and external stakeholders, including expanded market vendors. Utilizes a wide variety of systems and applications to onboard, terminate, and process changes for agencies participating in the Expanded Markets Program.
Job Description
The Agency Operations Associate III evaluates and processes moderately complex tasks to support the agents. Utilizes a wide variety of systems and applications to investigate and process the requested changes. The Agency Operations Associate III is responsible for executing recurring operational tasks, cleansing and processing incoming monthly data, and assisting with ad hoc assignments and projects in a timely manner.
Key Responsibilities
Processes business related functions in accordance with applicable compliance and regulatory guidelines:
- Performs moderate to complex agency changes which require interpretation and application of business best practices
- Collects and evaluates documentation to properly process agency and producer appointments and system log ins
- Prioritizes work intake to ensure completion of the most value-added tasks first
- Maintains, reports, and manages daily work condition
- Researches and reports agency set up issues
- May assist sales leaders with internal/external customer and agency calls as needed, including basic problem solving and servicing
- Responsible for quality and quantity of sound decisions around processes and issues within the scope of day-to-day responsibilities
- Supports the implementation of strategic team objectives
- Inputs and maintains data integrity in Company databases and systems
Interacts with business partners and agencies:
- Interacts in written and verbal form with internal and external business partners
- Presents moderately complicated information with guidance and direction
- Communicates effectively (both written and verbal) during routine circumstances
- Applies effective communication skills to provide service, coordinate information and collaborate with others
- Listens and asks questions to solicit feedback to understand needs and provide services
- Obtains facts and explains routine information to team members, sales leaders, and agencies
- May assist in preparation of agent-facing communication
- Sends communication through fax, email and US mail
- Reviews and responds promptly to email messages, correspondence, and phone calls
- Attends and participates in team meetings and training sessions as appropriate

Compliance:
- Maintains agent files and validates that all files contain the required documentation for compliance with all audits conducted by applicable Departments of Insurance
- Creates, updates and maintains agency license information for agencies appointed with Ivantage as required by law for all agencies and their respective licensed employees
- Ensures compliance with the regulatory requirements, as well as Company policies and standards, in conjunction with designated agencies
- Complies with requirements concerning safeguarding Personally Identifiable Information
Job Qualifications

Prior customer service experience required
Prior insurance experience preferred
High school diploma required; some college experience preferred
Knowledge of agent contracts, compliance requirements preferred
Experienced in Microsoft Office products required, including Excel, Word, PowerPoint, and Outlook;
Ability to effectively communicate with others at all levels in everyday situations
Ability to interact effectively with internal and external customers
Excellent customer service skills required, along with strong communication skills, including basic business writing, listening, telephone, and relationship management; strong emphasis on verbal (telephone) and written (email) communication skills
Effectively uses judgment to independently solve problems by applying knowledge and experience when addressing issues
Ability to organize and plan work, with acute attention to detail
Perform other duties as required
Ability to collaborate and develop effective internal relationships across business functions
