Provides administrative support for one or more executives, exercising confidentiality, tact and diplomacy. Manages executive calendars, coordinates and optimizes executive travel plans, prepares materials for meetings, triages phone calls, voice mails and e-mails, and helps to keep the executive(s) on schedule. Essence of the role is to enable the executive(s) supported to be more productive with their time and to work as efficiently and effectively as possible.


Responsibilities:

  • Assists the Talent Development team executives with calendar planning. Acts as a gatekeeper to include the prioritization of meetings, managing scheduling conflicts. Keeps those they are supporting informed of changes.
  • Assists the Talent Development team executives with meeting preparation, including preparing materials, obtaining materials in advance, distribution materials and keeping the executives on schedule. Obtains appropriate support for virtual attendees and other media needs and other logistics. Coordinates and/or assists with team meetings (staff meetings, all-hands, quarterly, team gatherings, etc.) and event planning including preparing agendas, materials, taking minutes and ensuring technology is configured.
  • Provides phone coverage and screens/triages calls and voice mail. Greets and assists planned guests and manages unannounced visitors.
  • Optimizes travel arrangements (transportation, accommodations, agenda) based on the executives travel needs and preferences. Manages expense submission and reporting.
  • Helps with the onboarding of new team members by preparing equipment, onboarding information, meetings and communications for the new team member.
  • Prepares, updates and organizations information for inclusion in huddle boards, reports, correspondence, presentations, budgets. Edits documents for accuracy, format and arrangement of material.
  • Maintains organization charts, department SharePoint site and document curation for the Talent Development team.
  • Sorts, screens and distributes incoming and outgoing mail.
  • Orders supplies/materials for the team using company procurement portal and helps to maintain equipment and supplies inventories to prevent overspending or overstock of supplies.
  • Assists in keeping the executives well organization, to include online retrieval and arching of documents.

Qualifications:

  • Knowledge of administrative procedures and software applications (such as Microsoft Office Word, Excel, PowerPoint, etc.)
    Filing and records management systems
  • Ability to make a decision or solve a problem by using logic to identify key facts, explore alternatives, and propose appropriate solutions
  • Use proper grammar, spelling and punctuation when reviewing and/or editing documents for accuracy and completeness
  • Speak clearly, concisely and effectively
  • Communicate information and ideas clearly
  • Maintain confidential information
  • Deal with people in a manner which shows sensitivity, tact, and professionalism
  • Associate's degree (or equivalent) and a minimum of five years of experience
