GAINSCO Auto Insurance markets non-standard private passenger automobile products through retail agencies in Arizona, Florida, Nevada, Texas, New Mexico and South Carolina. GAINSCO Auto Insurance has fully integrated insurance capabilities, including marketing, underwriting, customer service and claims handling. Our operations are bilingual (English/Spanish).

GAINSCO Auto Insurance has an immediate opening in our Information Technology Department for a Document Operations Manager at our corporate office in Dallas, Texas.

Job Purpose: To supervise the daily functions of Document Operations and the Mail Room.

Accomplishes Departmental Staff objectives by orienting, training, assigning, scheduling, coaching, counseling, and disciplining employees; communicating job expectations; planning, monitoring, appraising job contributions; adhering to policies and procedures.

Maintains workflow by monitoring and evaluating performance of Document Operations & Mail Room staff; maintaining efficient operations by establishing and enforcing department guidelines; responding to inquiries or escalated issues in a timely manner by proactively communicating with staff, upper management and key personnel in various departments; ensuring that the incoming and outgoing mail correspondence has been reviewed and sorted correctly; ensuring that claim/refund/commission/payroll checks are printed on a timely basis; preparing mail to be scanned; approving prepped mail to ensure appropriate sorting and scanning; scanning correspondence into imaging system; preparing postage usage and daily output numbers on metrics report; reviewing all Daily Output and pull requested items; ordering office supplies (i.e. daily output supplies and checks); Aides in the accomplishment of other ad-hoc mail room duties.

Qualifications:

Education: High School Diploma or equivalent.

Experience: Minimum 2 years general office, clerical and mail room experience required. Supervisory experience required.

Skills and Abilities: Excellent verbal and written communications skills. Knowledge of administrative and clerical procedures. Ability to lead, motivate, train and coach employees. Ability to monitor and assess performance to make improvements or take corrective action. Ability to efficiently manage own time and the time of others. Ability to use logic and reasoning to identify approaches and solutions to problems.

Office Equipment and Software: Telephone, computer, printer, fax, scanner, copier, general mail room equipment. MS Outlook, MS Word, Internet, Image Right, AS400, Claims Manager and Claim Center.

Decision Making: Selects specific steps from established options. Develops options by which work can be accomplished. Sets priorities and standards of performance.

Interpersonal Communication: Daily interaction with unit staff and employees in various departments.

Confidential and Sensitive Information: Minimal access to confidential information pertaining to staff (i.e. attendance and performance issues).
