Assurant has an exciting opportunity for an Executive Assistant!

This job is responsible for providing executive administrative and secretarial support to 2 Executive HR Business Partners along with making complex domestic and/or international travel arrangements, including obtaining visas as needed.

Responsibilities:

  • Managing schedules and making complex meeting or conference arrangements with senior business executives for the HR leaders coordinating across multiple time-zones and geographies. Assist in meeting preparation and timely communication, both written and oral, with staff and external audiences. This may include drafting agenda, correspondence, memorandums and preparing other required highlights and presentations with minimal supervision
  • In executives absence, ensures that requests for action or information are relayed to the appropriate department. In addition, manages all incoming requests into the executive office (via mail and phone), and makes sure they are prioritized and addressed
  • Strictly discreet and confidential handling of sensitive company and functional information which could have an immediate impact on the companys brand, value, performance, or operations if shared beyond intended audience
  • Manage or oversee that all expenses and invoices are processed on time. Approve expenses when authorized
  • Composes correspondence and may sign for executive when technical or policy content are authorized. Summarizes content of incoming materials, special information, or meetings and takes meeting minutes and action items for distribution
  • Provide a bridge for smooth communication between the Leaders office and internal departments; demonstrating judgment to maintain confidentiality, trust and support with senior management staff
  • Undertake process improvement initiatives and other special projects as needed


Basic Qualifications:

  • High School Diploma or GED is required.
  • Minimum 5 years of experience in executive administrative assistant or secretarial role

Other Requirements:

  • Applies expert skills in area of communicating sensitive information to senior management or external sources. Sound judgment and ability to keep confidentiality
  • Strong, positive interpersonal skills in order to work collaboratively across several businesses, functions and geographies
  • Proactively adapts procedures, processes and technology to identify next steps and accomplish requirements of the position
  • Ability to adapt to cultural differences and navigate a complex, global matrix organization.
  • Expert user of PC and applications such as Microsoft Office Suite (Word, PowerPoint, Excel, Lync, OneNote and OneDrive) and Outlook, especially PowerPoint and Excel
  • Excellent verbal, written and presentation skills to effectively communicate information to all levels of internal and external personnel
  • Knowledge of office routine and an understanding of the organization, programs, and procedures related to the work of the office
  • Extreme attention to detail
  • Ability to learn continuously
  • Ability to identify needs and initiates administrative projects
  • Ability to perform considerable coordination and follow-through
  • Works under minimal supervision
  • Sets priorities and procedures for accomplishing work and may delegate portions to others.
  • May periodically assist in orienting, training, assigning and checking the work of lower level employees
