Overview

The Senior Project Portfolio Analyst partners with key stakeholders in the business and technology teams to manage the project intake process, provide input around capacity planning, provide transparency into the health, spend and strategic alignment of the portfolio and support the annual planning process. This role will train and educate stakeholders on intake/capacity management procedures and ensure team members execute in compliance with standards.

The Senior Project Portfolio Analyst is also accountable for the development and communication of portfolio metrics that represent portfolio performance. The Senior Project Portfolio Analyst will maintain and support the development of project portfolio status reporting standards/metrics and will oversee reporting of the IS&T Strategic Portfolios to IT Leadership on key metrics such as: budget health, schedule health, major risks and mitigation strategies, tempo of new project intake rates, in progress initiatives, resourcing, etc.

Finally, the Senior Project Portfolio Analyst is responsible for working within the Portfolio and Demand Management team under the Process & Capability Excellence Organization which includes but is not limited to the PMO CoE, BA CoE, QA CoE to establish Portfolio and Capacity Management guidelines and oversee the Demand Management Process. This position reports to the AVP, Portfolio and Demand Management.

Responsibilities

  • Quickly and effectively understands business strategies, challenges and priorities while collaborating with Business and IT leaders to identify and initiatives to translate these into programs/projects with tactical goals and objectives that are measurable
  • Support the intake and demand process of projects through the governance process, inclusive of business-driven IT projects and potentially broader AmTrust initiatives.
  • Build and foster relationships with Business and IT stakeholders - Act as primary liaison between the IT group, lines of business and other stakeholders with the goal of defining, planning, building and assessing the IT investment portfolio mix.
  • Conduct portfolio wide analysis and advise on project/program pipeline and delivery risk, including sequencing, dependencies, capacity, forecasting and the execution of quality and timely delivery.
  • Manage portfolio management artifacts, process compliance and data integrity, decisions, communications, metrics, and reporting. Develop and present simple to moderately complex executive communications selecting the appropriate message for the audience.
  • Monitor alignment of prioritized projects against resource capacity and partner with delivery team leadership to assist with balancing capacity and demand.
  • Advise Business and IT Leadership on portfolio health analyze and articulate portfolio risk and budget variance.
  • Understand and contribute to decisions on portfolio issue resolution and risk mitigation.
  • Drive and manage the project pipeline including facilitating the development of early and late stage estimates for accurate prioritization and alignment with business and technology strategies.
  • Partner with Finance to support financial planning and forecasting support annual planning process and ongoing monitoring to ensure accurate financial forecasting and analysis to enable investment decisions.
  • Manage all aspects of time tracking working with various teams in the organization; the Enterprise Applications team that administers the time tracking system of record, the financial team that expects specific reporting and tracking of capital and expense hours and the Project Management team to understand expectations of time tracking to project relationships.
  • Coordinates with project delivery and aids in communication with the business helps re-plan those activities that fall into the next portfolio cycle
  • Ensure compliance to the Amtrust Portfolio Management Process to enable a consistent and repeatable investment decision making process
  • Look for opportunities to expand Portfolio Management expertise for our Business Partners.
  • Champion existing Portfolio/Capacity/Financial management processes and best practices.
  • Capable of acting as a thought partner and trusted advisor in providing oversight of portfolio health and assessment of opportunities
  • Comfort with ambiguity and the ability to independently drive resolution of issues and challenges based on the unique demands of your specific responsibilities.
  • Curiosity to investigate industry standards and best practices and challenge the status quo and develop creative recommendations.
  • Strong analytical skills, highly organized and excellent interpersonal skills.
  • Excellent written/verbal communication and facilitation skills for communicating at all levels (employees and leaders); including strong presentation skills.
  • Intermediate knowledge of Microsoft applications (Word, Excel, Visio, PowerPoint, SharePoint, Microsoft Project Professional, Microsoft Project Online, Power BI, ).
  • Solid understanding of project and portfolio management, including knowledge of various project methodologies and governance process such as stage-gate.
  • Participates in and complies with established Change Management process and methodology

Qualifications

  • Bachelor of Business, Bachelor of science degree in Computer Science or other comparable degree preferred.
  • 5 or more years of experience in information technology positions or relevant area of business (technology management, portfolio management, project/program management, resource management, financial analysis). Experience in a portfolio management role is preferred.
  • PfMP certification a plus
  • Strong business acumen and the ability to understand the larger company strategy
  • Financial acumen with experience in roles involving budgetary responsibility including forecasting and trending portfolio financials
  • Experience using business, project and portfolio management tools (e.g. MS Project Online, Power BI, Excel)
  • Strong influencing skills to help guide strategic initiatives without ownership
  • SAFe/Agile/Lean experience is a plus
