Job Description

PURPOSE/SUMMARY (Brief overview of why job exists, general purpose for position)

As a member of the Payroll team, the Payroll Specialist will be responsible for processing all US payroll through Workday / ADP Smart Compliance for approximately 5,000 employees. The member will also conduct activities related to accounting /general ledger, Time & Attendance, taxes, compliance, reporting, working with external vendors, and troubleshooting of issues to resolution. Applies a thorough understanding of payroll principles and tax rules to ensure compliance with all payroll regulatory related topics. Recommends and implements changes to Workday Payroll / HCM as needed by partnering with internal Payroll Tax Analyst and HRIS / HR Operations team.

PRIMARY DUTIES AND RESPONSIBILITIES

  • Process bi-weekly payroll in Workday payroll module; including bonus payments, deferred compensation payouts, taxable fringe benefits, 401k, wage garnishments, and etc.
  • Subject matter expert and / or resource to others for payroll processing transactions and inquiries.
  • Submit Workday payroll settlement to ADP Smart Compliance.
  • Reviews, analyzes and verifies payroll reports and documents for accuracy; makes necessary adjustments or corrections using established procedures.
  • Review and audit processing edits prior to and after processing the biweekly payroll.
  • Conducts research or investigation of payroll issues or problems concerning payments, wages, taxes, general ledger and deductions and/or other related payroll items. Reviews and makes necessary changes or corrections to resolve problems.
  • Responds to employee issues in a professional and timely basis.
  • Develops preventative process solutions to address issues.
  • Audit local, state and federal tax documents
  • Recommends or participates in the development of new procedures and policies related to payroll operations.
  • Completes pre / post payroll processing activities based on implemented procedures
  • Prepares quarterly reconciliations for tax and any other areas requiring process support
  • Oversee all garnishment processing / administration by third party vendor
  • Responds verbally or in writing to inquiries or problems and makes necessary adjustments when necessary
  • Collaborate with HRIS / HR Operations team, functional and technical staff, both internal and external, to achieve required payroll results
  • Work directly with Third Party Workday Support to resolve all inquiries impacting employees or support teams
  • Payroll reconciliation every pay period, run reports to compare variances between pay periods
  • Assist with auditing payroll data monthly to ensure proper employee tax setup based on location worked/lived in
  • Assist with Payroll quarterly tax audit to reconcile Workday and ADP results
  • Assist with annual quarterly tax reports to W-2 reconciliation
  • Generate various ad-hoc and routine reports as required
  • Provide reports for various audits performed within the company
  • Additional tasks / projects as assigned

MINIMUM QUALIFICATIONS (To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the, education, knowledge, skill and/or ability required.)

  • Minimum Associates degree in a business related field or equivalent combination of training and experience
  • Certified Payroll Professional (CPP) is preferred.
  • Minimum of 6 or more years of related experience in payroll processing with emphasis on Workday /ADP or related systems, including at least 4 years in a multi-state payroll environment.
  • Working knowledge of ADP Smart Compliance
  • Demonstrates strong expertise and working knowledge of payroll rules and regulations including tax compliance, tax accounting, multi-state employer requirements, FLSA, internal and external record keeping and compliance requirements.
  • Demonstrated ability to deal with non-routine situations and exceptions, and to independently plan and organize work while managing many priorities.
  • Strong interpersonal and verbal & written communication skills
  • Strong analytical and reconciliation skills to ensure accurate and timely reporting of payroll.
  • Ability to maintain confidentiality and to exercise discretion and professionalism with sensitive information.
  • Ability to interact effectively and cooperatively with employees at all levels.
  • Ability to operate in a fast-paced organization and handle multiple projects simultaneously.
  • Ability to problem solve and work independently
  • Excellent computer skills, including Microsoft Office and Excel.
