Job Description

The Talent Acquisition Infrastructure Services Team provides operational and infrastructure support to the talent acquisition organization and field recruiting teams to enable successful sourcing and acquisition of high caliber talent across the enterprise.

The Talent Acquisition Operation Service Specialists performs operational and customer services and for entire TA department. The role includes troubleshooting and providing solutions to hiring processes, compliance monitoring, managing customer inquiries, and assisting in special projects. The Operation Service Sr Analyst serves as a liaison between candidates, TA, technical support, and various HR departments. The role works closely with certain key vendors to integrate and manage the flow of work.

Key Responsibilities

SAP Error Management and Sox Compliance

  • Based on daily SAP error report (SOX compliance), identifies business issues, investigates and researches root cause to develop a business solution recommendation; Drives timely and efficient resolutions of SAP errors; Consult with recruiters on recommended solution and future process improvements to avoid future errors
  • SEC Rule 38A procedures, monitors and prepare Certus application for approval
  • Constructs just-in-time training and communication to mitigate issues and errors; also ongoing monthly distribution of process improvements, tips and training material to TA and field recruiting teams
  • Provides consultation and desk level training for recruiters on applicant tracking and candidate flow as well as training overviews for required processes; Serve as the point of contact for TA regarding SAP/provisioning of all candidates
  • Identifies process gaps and recommend changes and communications needed to reduce overall errors
  • Independently analyzes trends and informs leadership on possible new processes and best practices based on industry research; Analyzes quantitative, qualitative and trend data:
  • Analyzes information from a variety of sources (i.e. SAP and Talent Connection)
  • Identifies how individual data points fit into a larger circumstance
  • Develops and maintains reports and communicate findings to involved parties (i.e. Recruiters, Search Associates, and Managers)
  • Develops key internal/external relationships (recruiters, search associates, and managers) to drive results and customer satisfaction
  • Maintains key data for quarterly SOX review

Compliance and Process Improvement

  • Reviews and assists with compliance auditing (i.e. hire file, salary analysis, I-9)
  • Tracks and monitors weekly new hire welcome correspondence process for home office hires to ensure candidates are getting accurate onboarding data while working closely with the recruiters
  • Monitors I9 process and issues through our I9 Hire Right vendor
  • Conducts ongoing assessments of processes and make recommendations for improvements
  • Participates in TA department and team level projects focused on processes and technology improvements (i.e. Talent Connection Steps & Status performance, resolving compliance issues that do not impact provisioning and onboarding, and timeframe of disposition notification of rejected candidates)
  • Identifies system or technology tool issues and efficiency gaps and recommend improvements
  • Secures and runs business reports to capture key staffing metrics and trends to identify process changes and recruiting practices

Research and Litigation Material Request

  • Manages all litigation and EEOC complaint requests related to recruiting; identifies scope, data pull, and documentation tracking from various recruiting data source (Candidate Relationship Management (CRM) tool, Applicant Tracking System (ATS), Behavior Interview (BI) guide, SAP, and Onboarding tool
  • Manages all request in a confidential manner while keeping track of proprietary information
  • Collaborates with legal, workforce relations, and any external law firms in request timely and accurately

Manage Operational Reports

  • Produces monthly department budget tracking report and reconciliation management
  • Based on daily customer inquiry tracker report, investigates, triages, resolves and develops reports to analyze business practice improvement opportunities
  • Coordinates and manages industry related requests in partnership with Workforce Insights, Compensation, and Diversity (i.e. Mayflower, HCI, etc.)
  • Develops, administers, and tracks TA Client Satisfaction Survey monthly and quarterly to assess customer service

TA Projects

  • Participates as a key role in projects that result in process improvements Talent Acquisition
  • Leverages Lean methodology to ensure continuous improvement of recruiting processes to ensure compliance and business efficiencies

Job Qualifications

  • Bachelors Degree
  • 0-2 years of related experience
  • Experience with balancing routine and non-routine tasks along with ad hoc requests in a deadline sensitive environment
  • Intermediate working knowledge of Microsoft Word, Power Point, and Excel
  • Ability to troubleshoot and analyze complex data issues to determine root cause
  • Strong organizational and time management skills including the ability to complete concurrent tasks in a timely fashion; thrive in a fast paced environment
  • Strong interpersonal, written and verbal communication skills
  • Excellent client relationship skills to communicate proactively and partner effectively with team leaders, recruiters and others in the organization, and across functional areas
  • Time and project management skills
  • Detail oriented, creative thinker and strong problem solver
