How This Role Contributes to Brighthouse Financial:

The associate will provide operational support to the Office of the Corporate Secretary in the Charlotte office of Brighthouse Financial. Responsibilities include: assisting with the planning and execution of Brighthouse Board meetings (holding company and subsidiaries); scheduling meetings and coordinating executive calendars using Outlook; coordinating travel for Brighthouse Directors; planning and supporting Board dinners, including selecting menus; preparing and submitting director and employee expense reimbursements; preparing and revising letters, memoranda and reports; filing and organizing incoming and outgoing correspondence; ordering supplies.

Key Responsibilities:

  • Assist with the logistics relating to Brighthouse and subsidiary board, committee and shareholder meetings, including developing time and responsibility schedules for all aspects of the meetings.
  • Arrange travel for directors to/from Board meetings including arranging and coordinating airfare, hotels, car service, etc.
  • Manage director and officer expense reimbursement processing.
  • Provide on-site Board meeting and rehearsal support.
  • Respond to requests from officers, directors, business clients and internal staff, as required.
  • Draft and revise correspondence and assisting with the preparation and distribution of various reports and Board meeting presentation materials including aggregating materials and formatting.
  • Answer telephones, direct inquiries as appropriate, routes call to appropriate party for prompt and efficient resolution.
  • Manage a wide range of administrative support tasks and provide general administrative assistance as necessary.
  • Prioritize and manage multiple projects for the team and follows through on issues.
  • Performs special projects and other duties as required or assigned.
  • Assist with annual reports, including research of state filing requirements, fees and deadlines for all entities in all state jurisdictions.

Essential Business Experience and Technical Skills:

  • Bachelors degree
  • Strong capacity to manage own performance independently and effectively, exhibiting excellent time management, strong organization and detail orientation.
  • Proven sense of urgency, with the ability to identify and articulate issues, offer solutions and follow-through to resolution. Solid track record providing administrative support for C-level executives, ideally in a fast-paced financial environment.
  • Demonstrate tact, high level of integrity, capacity for discreetly handling sensitive and confidential information and ability to maintain professionalism under pressure.
  • Highly collaborative and team focused, with the ability to work with individuals at all levels of the organization.
  • Customer-centric orientation focused on anticipating and meeting internal partner and external customer needs.
  • Strong software knowledge including all Microsoft Office programs.
