Overview

AmTrust Financial Services, a growing commercial insurance company, has a need for an Executive Assistant in our Boston office. The position will primarily support a Senior Executives that travel 50% of the time, and provie remote support to their direct reports. This person will perform a wide range of administrative and executive support to ensure efficient operation of their organizations, which includes serving as the office/operations manager for our Boston office. The highly successful candidate will be able to think and work proactively to address the needs of the executives they are supporting.

Responsibilities

  • Handle requests for information and data using SharePoint tools
  • Resolve administrative problems and inquiries from remote managers/locations
  • Coordinate travel and manage multiple very busy schedules
  • Coordinate meetings
  • Prepare PowerPoint, Excel, and Word documents
  • Strong organizational aptitude
  • Preparing for meetings (printing, scanning, copying, binding)
  • Ad hoc research, projects, and assorted administrative tasks
  • Perform general clerical duties including photocopying, printing, scanning, filing, fax and mailing
  • Schedule and coordinate meetings, appointments and travel arrangements for managers or supervisors
  • Prepare agendas for meetings and prepare schedules
  • Assist with incoming mail process as needed
  • Expense report preparation
Qualifications

Education/Training/Experience

Bachelor's Degree; three or years of experience in a financial, insurance or similar corporate environment; or equivalent combination of education and experience.

  • Must have extended experience working in a corporate environment
  • Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
  • Must be able to interact and communicate with individuals at all levels of the organization.
  • Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MSWord, Excel, Access, PowerPoint) and able to use share point applications
  • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
  • Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
