Mailroom Coordinator


Overview

AmTrust Financial is searching for a Mail Clerk in our Jersey City location. Shift is 8:30am to 5:00pm.

Responsibilities

Operation of automated equipment: mail, reprographic, and finishing equipment

Operate production scanners and configure job-processing settings, manage job queues, files, print jobs

Follow procedures based on application outlined in Mailroom Procedures Manual

Use print, mail and peripheral equipment during production process

Perform quality checks on print and mail during respective processes

Record and process accountable print and mail information, maintain logs

Prepare print, mail and packages for external shipments and coordinate deliveries and pick-ups (i.e. presort vendor)

Manage digital files to formats such PDF, TIFF, PostScript, XML, etc for import into document repository and print management systems

Store and retrieve electronic documents in server storage system

Perform finishing work on documents to be mailed, such as metering, folding and inserting

Perform fulfillment functions, such as assembly, packaging, shipping and tracking of materials. Manage fulfillment inventory, re-order and re-stock

Engage and procure special packaging materials and/or special inventoried items from appropriate Third Party suppliers to support jobs requirements

May be required to operate electronic and hand pallet jacks which requires forklift training / certification

Monitor and manage supplies inventory, mail and distribution activities

Trace and resolve mail problems with USPS, presort vendors and express and local delivery services

Identify and engage appropriate resources for problem resolution and initiate process improvement when applicable

Operate fully integrated mail solutions that include automated fulfillment, finishing, and mailing

Manage electronic input, print, packaging activities and posting fulfillment in high speed/high volume operations

Ensure resources are available during normal working hours to assure quick resolution of printing, mail distribution, or technical problems and maximize uptime

Perform necessary safety requirements and certifications

Perform other duties as assigned

Qualifications

Must have mailroom experience

Able to lift and move up to 50 pounds

Verbal communication skills

Read a simple job ticket and understands steps required in work flow

Ability to handle multiple tasks

Operation of PC basic function of MS Office applications (Word, Excel). Capable of navigating Internet Explorer, uploading and downloading files

Determine output packaging per packaging standards (e.g. process for invoices, etc.)

Estimate and schedule complex jobs, including operators, job path and time requirements

Build teams and foster teamwork

Coach and mentor other Mail associates
