INSURANCE CLAIM ASSISTANT

Job Summary:

Responsible for providing clerical/administrative assistance to the management and professional claim staff to ensure the highest quality services to our client.

Responsibilities:

Great customer service skills.

May provide confidential administrative support to Unit Claim Manager and Supervisor.

Microsoft Office skills a must (Microsoft Word, Excel, Power Point.)

Answer phones, take messages, route calls and assist callers when appropriate.

Perform clerical duties such as faxing, copying, scanning, dispersing faxes and printing, data entry.

Order and maintain department supplies to ensure sufficient supply of necessary items.

Prepare outgoing mail for shipment/mailing from the claim unit’s office to mail processing room in adjacent office, including providing necessary attachments, wrapping and sealing of envelopes and boxes. Picking up and delivering mail from the adjacent office.

New claim file set up, preparation of new claim acknowledgement letters to State agency and Claimant, enter appropriate coding in the electronic claims system, notify the Attorney General’s office of any new claim notice received by providing a copy of the claim notice, update the claim file with the name of the plaintiff and defense attorneys.

Compose correspondence as requested by professional staff.

Compile information, format, prepare and distribute reports as may be required.

Pay vendor claim invoices within the electronic claim system.

Maintain confidentiality and privacy of all data, procedures, records, forms reports and any other sensitive information of the company and the client.

Match proper file and/or claim number on unidentified correspondence by use of the electronic claim system.

Copy/download claim documentation from a claim file to send to defense attorneys when a claim is in suit.

Other duties as assigned.

Qualifications:

Minimum 1 to 2 years secretarial/administrative support experience.

High School diploma, Associate’s degree preferred.

Excellent verbal and written communication skills, including spelling and grammar.

Ability to exercise sound judgment in identifying and handling confidential/sensitive information.

Ability to work in a fast paced environment while maintaining organization and work on multiple project concurrently.

Time management skills, organizational skills and ability to prioritize issues and tasks.

Self-motivated, strong team player with desire to always put the work, time and effort required to get the job done.

Strong attention to detail and accuracy.

Task oriented with a high sense of urgency.

Ability to operate computer equipment and applications to their fullest potential. Experience in Microsoft Office Suite required (Word, Excel, Outlook, PowerPoint.) Ability to learn and work within the automated claim system.

Dedicated to meeting the expectations and requirements of internal and external customers.
