Summary of Role:

To efficiently and effectively perform a variety of standard duties to assist management personnel including confidential administrative, project related duties, payroll, answering telephones and relaying messages, sending faxes, distributing mail, maintaining files, preparing routine correspondence and running appropriate system reports to allow for inputting/updating data for established spreadsheets and database files, as well as other various duties and projects to support the management team.

Responsibilities:

1. Provides confidential administrative and secretarial support by screening calls and visitors, scheduling tentative appointments, making travel arrangements, gathering routine oral information and maintaining confidential files.

2. Utilizes word processing skills such as Microsoft word, Excel, and PowerPoint to compose and initiate correspondence presentation material and memoranda for review by management personnel. Construct data tables and perform routine macros. Utilizes spreadsheet skills to design, update and edits spreadsheets.

3. Coordinates with internal and external customers to accomplish moderately complex activities such as scheduling of visiting internal and external customers, facility planning and coordination for meetings, facilitation of orientation and training programs for management and staff personnel. Communicates with appropriate individuals to follow-up on items delegated by management team and others.

4. Maintain all aspects of time sheet records for designated department staff which includes attendance for scheduled time off, W/C, and FMLA issues, STD, etc. Updates time clock system with any status changes in employees' history such as F/T vs. P/T and Interdepartmental subgroup changes.

5. Develop, maintain and distribute reports for the Management team which includes tracking of Vacation time, W/C, FMLA issues and STD benefits.

6. Interacts with appropriate personnel to coordinate and follow up staff computer and telephone moves/set-ups.

7. Operates a variety of office equipment including personal computer, printer, photocopier, fax machine and transcriber or calculator to perform duties in an effective manner.

8. Creates, maintains and retrieves files to provide efficient file maintenance.

9. Performs case closure on FCM files as needed.

10. Maintain and process departmental reports, coordinates communication with remotely located staff, referrals, caseload and key indicator reports.

11. May order and maintain departmental supplies to ensure efficient supply of necessary items.

12. May be required to compile and verify information in performing duties.

13. Proofreads all prepared correspondence and reports to ensure accuracy.

14. Performs other related duties as required or requested.


Education:

A high school diploma or an equivalent combination of education and work experience is required.

Knowledge and Skills:

Strong word processing and spreadsheet skills are required. A minimum typing speed of 50 wpm is required. Effective written and oral communication skills are necessary.

Experience:

Minimum of three (3) years secretarial/administrative support experience is required.
