SUMMARY
Provides administrative support for attorneys and management in legal office. Completes tasks relevant to overall law office administration including, but not limited to, typing and preparation of legal correspondence and documents (from both dictation and written notes), creates and maintains attorney calendars using electronic diary entry and case management systems, schedules appointments and meetings, organizes and maintains legal files, and responds to client requests, with significant supervision and guidance from attorney(s) supported.
PRIMARY DUTIES AND RESPONSIBILITIES
- Accurately prepares routine forms, pleadings, memoranda and other documents for attorneys, of moderate complexity, from dictation, drafts or handwritten notes, utilizing Microsoft Word and/or case management system. - Composes routine correspondence and other documents from attorney¿s direction. - Proficiently utilizes case management system for electronic data management of legal files as directed by department procedures and protocols. - Receives and dockets incoming mail for attorney(s) as mandated by office procedures. - Creates, maintains and manages attorney diaries and court calendars, utilizing electronic diary and case management systems. - Maintains legal files in accordance with legal program and office standards. - Acts as a liaison between clients and attorneys by furnishing and requesting information on various files. Participates positively in resolution of problems. - Schedules depositions, court reporters, independent medical examinations, pre-trial conferences, etc. and select appropriate dates while working with multiple parties¿ schedules. Monitors calendars and coordinates updates and adjustments as needed. - Assists other secretaries and support staff personnel as requested.
EDUCATION/WORK EXPERIENCE - High School Diploma or its equivalent required. - Associates Degree or vocational secretarial training is helpful. - Minimum 3 years experience as a Legal Secretary desired; litigation experience preferred. - Minimum 3 years experience as a Secretary or Administrative Assistant in an automated office environment required.
OTHER - Superior communication skills - Understanding of legal terminology - Proven team playing skills - Proficient in Microsoft Word - Advanced knowledge of email technology - Client ¿ concentric orientation - Ability to work independently as well as in a team environment - Ability to manage time and multitask effectively - Familiarity with Excel desirable - Strong organizational skills
